Convocation Fees

Important Notes

  1. Graduands must clear all outstanding fees and pay the convocation fee before being allowed to attend the Convocation Ceremony.
  2. Graduands are strongly advised to check their statement of account at the Finance Counter for any outstanding fees.
  3. All outstanding fees and other financial obligations must be settled by 5th December 2025. For sponsored students (within sponsorship duration), please liaise with your sponsor regarding the payment status. For PTPTN students, please liaise with Mr. Zamzuri from Student Financial Support ([email protected]).
  4. Payments must be made no later than 5th December 2025. Payments made after this date will not be accepted, and graduands will not be eligible to attend the Convocation Ceremony.
  5. Graduands with outstanding fees will not be able to:
    • Obtain their final examination results
    • Obtain their transcript of examination results
    • Obtain the Completion Letter
    • Attend the Convocation Ceremony

  • Please check for any outstanding library fines or unreturned/overdue books.

  • Graduands cannot collect their academic attire if they have outstanding fines or unreturned/overdue books.

MOHE Graduate Tracer Study Survey

2025 Graduands

    • To change the language, click the **flag icon** at the top right corner.
    • Then, click the **Login button**.
  3. On the Login Page: Please fill in the required information as shown in the example below:

  4. Final Step: Next, click **Submit**.

If graduates encounter any issues accessing or completing the survey, the institution (IPT) may inform the Tracer Study team via email with the following details:
  • IC/Passport Number
  • Matric Number
  • Full Name
  • Name of Institution/University/College
  • Browser used (e.g., Mozilla Firefox, Internet Explorer, Google Chrome, etc.)
  • Description of the issue encountered (preferably include a full screenshot of the error page)

After completing the SKPG 1 response, graduates are allowed to update their employment status again after 24 hours by visiting the **SKPG 2.0** site at: https://graduan.mohe.gov.my/update/
Note: This is not required for Foundation student.

Robe Collection

Graduands who have confirmed attendance to the 10th Convocation Ceremony must collect their academic robe per the schedule below.

  • DATE: 7th December (Sunday) & 10th December (Wednesday), 2025
  • TIME: 9:00am – 5:00pm

  • One (1) set of Academic Robe (set includes Gown, Bonnet and Hood for Doctorate Degree; Mortar Board and Hood for Bachelor’s and Master’s Degree).
  • One (1) graduand car parking sticker.
  • Three (3) guest cards.
Important Notes:
  • Graduands must clear all outstanding fees before being allowed to collect the robe.
  • Graduands must complete the questionnaire and print or screenshot the “Slip Pengesahan Kajian” (confirmation slip) as proof that you have done so when collecting your academic robe.
  • Graduands cannot collect the robe if they have outstanding fees.
  • Graduands may appoint a representative to collect the academic robe and notify the Convocation Committee at [email protected]. The representative must bring their identification card, a copy of the graduand’s student ID card, and Tracer Study Slip.
  • There will be no robe collection during convocation day.
  • Robes must be returned after the convocation; 11th December 2025 at the Experimental Theatre (Assembly Hall) before 4pm.
Note: This is not required for Foundation student.

Convocation Attire

The Convocation Ceremony is a solemn affair. Therefore, all graduands and guests are advised to wear formal and appropriate attire for the ceremony.

  • Attire for Male graduands:  traditional attire, a black lounge suit with a long-sleeved shirt, tie, socks and black shoes.

  • Attire for Female graduands: traditional attire, formal dress or blouse with long skirts or trousers, with court shoes. 

  • Attire for Guests: lounge suits, traditional attire, long-sleeved batik or office attire.

Foundation Programme – Convocation Attire Guidelines
To maintain a professional and unified appearance during convocation ceremonies, all Foundation students are required to adhere to the following attire standards:
 
Male: Full black blazer and white shirt
Female: Full black blazer with white blouse and pants or skirts (below knee length)
 

PROHIBITED ATTIRE: Shorts, mini skirts, t-shirts, bermudas, jeans, slippers, sports shoes, sandals and/or any inappropriate attire.

UM-Wales has the right TO DENY ENTRY OR BAR anyone for any failure to abide by the above rules or any misbehaviour.

Collection of Scroll and Transcripts

For Foundation
Students may collect their scroll and transcript at the designated counter in Dewan Tunku Canselor after the convocation ceremony. Students without a bursary scholarship are eligible to collect their Foundation certificate and academic transcript during the ceremony, while those under the bursary scholarship will receive their Foundation certificate and transcript only upon completion of their Bachelor’s degree, as stipulated in the scholarship agreement. Students who are unable to attend the ceremony may collect their scroll and transcript from the Exam Office by scheduling an appointment starting 15th December 2025 (the above conditions apply). Collection hours are from Monday to Thursday, 10:00 a.m. – 1:00 p.m. and 2:30 p.m. – 4:00 p.m., and appointments can be arranged by emailing exam[email protected].
 
Undergraduate / Postgraduate (UGPG)
Graduands can collect their scroll and transcript at the designated counter in Dewan Tunku Canselor after the convocation ceremony. A robe return card is required as proof of return in order to collect the scroll and transcript.   Graduands who are unable to attend the ceremony may pick up their scroll and transcript from the Exam office by scheduling an appointment, starting 15th December 2025. Collection hours are Monday to Thursday, 10 am – 1 pm and 2:30 pm – 4 pm.   Please email exam[email protected] to arrange your appointment.

Frequently Asked Questions

  1. What time is the Convocation Ceremony?
    • Graduands should arrive at 8:30 am. The convocation ceremony begins at 9:45 am. For the full itinerary, see ‘Convocation Ceremony Itinerary’.
  2. Are guests allowed to enter Dewan Tunku Cancelor to watch the ceremony?
    • Yes, each graduand is provided up to 3 complimentary tickets for entry to the hall to watch the convocation ceremony. Guests under 12 years old are not allowed to enter the hall. Additional tickets may be purchased subject to availability.
  3. What If I do not bring my Tracer Study Slip during registration?
    • The Tracer Study is a compulsory requirement from MOHE. Graduands must bring the Tracer Study Slip when collecting their academic robe.
  4. When can I collect the Academic Robes?
    • You may collect the Academic Robes between 7th & 10th December 2025, 9 am – 5 pm, from the UM-Wales Registry Lobby.
  5. When do I need to return the Academic Robe?
    • Robes must be returned following the Convocation Ceremony before 4:00 pm of the 11th December at the Experimental Theatre/Panggung Eksperimen (Assembly Hall). You will be given a card stating ‘robe returned’, which will allow you to collect your certificate and transcript.
  6. What about convocation photographs?
    • The convocation photographs on stage will be taken during the ceremony by an appointed photographer hired by the University. Graduands are not allowed to take any photos on stage or ask anyone to do so during the ceremony. Convocation stage photos must be collected at the UM Wales lobby. Please note that postage service is not available. Photos will be ready for collection one month after the convocation. For students who have selected the photo package with our official convocation vendor, Ede @ Ravenscroft (M) Sdn. Bhd., the package will be delivered together with the stage photo. Graduands may choose and purchase their preferred package during the robe collection on 7th and 10th December.
  7. What are the Convocation Fees?
    • The Convocation fee is RM600.00. Please see the payments tab for more information.
  8. If I intend not to attend the Convocation, what should I do?
    • If you are not attending the Convocation Ceremony, you can collect your certificate and transcripts by appointment at the Exam Office from 15th December 2025 onwards. Please email [email protected] to arrange your collection. Please refer to the Convocation Fees page for the fees applicable to graduands who do not attend the ceremony. You are also required to fill in the Tracer Study from MOHE before the convocation ceremony. Please refer to the corresponding page for details.
  9. When will I receive my tickets and parking notice?
    • Tickets and parking notice will be given during the robe collection.
  10. What is the Convocation itinerary?
